Behind the Curtain: A 5-Months-Out Survival Guide to Bringing TEDxTinHau Women to Life

Five months before the big day, the committee isn’t panicking yet — that’s scheduled for later (just kidding… mostly). We’re laying the groundwork, and the energy is already electric.

If you’ve ever wondered what actually goes on behind the scenes to create our annual TEDxTinHau Women event, here’s your unofficial survival guide (straight from someone living it).

1. WhatsApp-ening?

Forget Slack. WhatsApp is our real control centre. Theme discussions, partner research, speaker ideas, and brainstorming sessions all happen here. Survival tip: read the chats or you’ll miss the magic.

2. Content with Our Calendar

We’re deep in planning — speaker intro blogs, career deep dives, fun Tin Hau Insider stories, and yes… I’m still campaigning hard for the occasional meme. Every single piece is created so we can spark real conversations among our Hong Kong community.

Survival tip: Research is our soulmate. Our community deserves the good stuff.

3. Sans and Sensibility

Each year the creative team unveils a new look for our theme including font and colour palette, and the rest of us stop everything to marvel. Right there is where our excitement for the event begins.

Survival tip: Never, ever suggest Comic Sans. You will be gently escorted out of the group chat 🤣.

4. Leader of the Drafts

Our team leads are part editor, part cheerleader, part miracle worker. Nothing goes live without their blessing (…and trust me, they make everything better).

Survival tip: Be kind to them. They’ve been doing this for years and they know what works.

5. Formula One (Not the One You Think)

Behind every smooth-running event is one very serious Google Sheet tracking partners, deadlines, hashtags, the content calendar, volunteer snacks… everything. Five months out, it is our bible.

Survival tip: Bookmark the important tabs, or you might accidentally volunteer to design the stage backdrop.

6. Count Me In!

We’re already counting down to October 2 at Xiqu Centre. Pre-event content, on-the-day magic, and post-event ripples — it’s all mapped out. The excitement is building every single day.

7. The Real Reason We Do This

At its heart, TEDxTinHau Women is about building curiosity and connection long before the stage lights come on. We want every member of the audience to feel seen, inspired, and ready to join the conversation, whether you’re attending for the first time or returning as part of our growing community.
